Zilos vs Restaurant365: which restaurant management platform fits your operation?

Last updated: 2026-05-05

TL;DR. Restaurant365 (R365) is the incumbent of US-led restaurant management software: 52,000+ restaurants, mature accounting and payroll, sales-led pricing. Zilos is the AI-OS alternative for operators who want a flat per-account price they can read on a website, an action loop on top of their accounting (not just inside it), and native Spanish or Arabic support. If you run 100+ US locations and need deep payroll/HR plus mature franchise tooling, R365 is built for that and we won't pretend otherwise. If you're a 1–20 location operator in Spain, the UAE, or anywhere outside R365's US-first product surface, Zilos was built for you.

What's different (and why it matters)

1. AI as a module vs AI as the OS

R365's AI claims are real but module-bound. They publish three: "cut accounting time by 50%", "reduce labor cost up to 5%", "boost net profit up to 2%". Each lives inside its respective module: AI Dashboards inside Inventory, AI scheduling inside Workforce. The AI improves each module independently.

Zilos's AI lives one layer up. Zi (our AI assistant) reads across POS, accounting, inventory, payroll, and the marketing surface, and proposes cross-domain actions: "your beverage margin slipped 3 points this week, your three top-selling cocktails dropped one ingredient supplier in common, here's the reorder action and the price-list update. Approve, modify, or skip?" That kind of action is not module-shaped. It needs the execution loop to live above the module fabric.

When this matters most: If your team has been working through a stack of AI features that each automate one task, and the integration cost of stitching them together is the actual bottleneck, an OS-level execution loop is the one feature you cannot get from a federated module set.

2. Per-location tiered pricing vs per-account flat pricing

R365 publishes tiered list prices on their pricing page: Core Operations or Core Accounting starts at $249 per location per month (billed annually); the Essential ops + accounting bundle is listed between $369 and $499 per location per month; the Professional tier is listed between $459 and $749 per location per month. Payroll, HR, and hiring are paid add-ons. Enterprise multi-location deals are still quoted separately.

Zilos publishes three flat per-account prices: €89/mo for Visibility, €169/mo for Intelligence, €299/mo for Action. Three locations are included on every tier, with each extra location at €99/mo on the same account. 14-day free trial, no card.

The math diverges at the second location. A 5-location group on R365 Essential pays roughly $1,845–$2,495/month (5 × $369–$499). The same group on Zilos Intelligence pays €367/month (€169 base + 2 × €99). At 10 locations the gap widens further, and that is before R365 add-ons.

LocationsR365 Core ($249/loc)R365 Essential ($369–$499/loc)Zilos (best fit)
1$249/mo$369–$499/mo€89/mo (Visibility)
3$747/mo$1,107–$1,497/mo€169/mo (Intelligence)
5$1,245/mo$1,845–$2,495/mo€367/mo (€169 + 2×€99)
10$2,490/mo$3,690–$4,990/mo€862/mo (€169 + 7×€99)
20$4,980/mo$7,380–$9,980/mo€1,852/mo (€169 + 17×€99)

When this matters most: You're a 1–10 location operator and you want to evaluate before committing. R365's published list is honest, but the per-location math compounds quickly once you add modules and grow. Per-account pricing flattens that curve.

3. Implementation timeline

R365's strongest module set (accounting + payroll + inventory + workforce, all four) is a months-long implementation for a multi-location group. They have a partner-network of accounting firms that handle this. The timeline reflects the depth, not laziness.

Zilos's onboarding is built around a faster path to first value. We get there by being narrower at launch (no payroll/HR yet) and by automating onboarding tasks that would otherwise take a partner consultant. The team rebuilds your top 3–5 reports in week one.

When this matters most: You need value in weeks, not quarters. If you have time and want depth, R365 is the better fit. If you need to stop the bleeding now, the trade is faster onboarding for a narrower module set.

4. Geography and language

R365's customer base, content, integrations, and partner network are US-first. Their named logos (Sbarro, Freddy's Frozen Custard, Black Bear Diner, Blaze Pizza, Jack in the Box, GPS Hospitality) are US-only. The product is English-only.

Zilos was designed Spain-first and UAE-second. The UI, support, and Zi speak Spanish and Arabic natively. The accounting integration set matches local stacks (Holded for Spain). The tax engine handles Spanish IVA and UAE VAT in production.

When this matters most: If your team is native-Spanish or native-Arabic speaking, an AI assistant that speaks their language matters more than any benchmark you can read in a comparison table.

5. What R365 does better than Zilos

Four honest ones:

  • Payroll and HR depth. R365's payroll/HR module is genuinely best-in-class for US restaurants. Zilos is on the roadmap there.
  • Franchise tooling. Their multi-brand, multi-entity, franchise-roll-up reporting is mature and field-tested with brands like GPS Hospitality (400 Burger King locations).
  • Scale and reference network. 52,000+ restaurants on platform is a real benchmark, and the partner-accountant network they've built is a moat we cannot match in 2026.
  • Module breadth in one stack. If you specifically want a single vendor for accounting + AP + inventory + workforce + payroll, R365 is the most complete answer in the field.

If those four things are your top priorities, R365 is the right choice and we'd say so on a sales call.

Who Zilos is best for

  • 1–20 location operators in Spain, the UAE, or markets where US-first product surface is friction.
  • Restaurants that want one bundled monthly price they can evaluate on a website, not in a six-week sales cycle.
  • Operators whose biggest pain is "my dashboards don't agree with my accountant". The truth-layer reconciliation is the thing.
  • Teams that want AI that proposes and executes, not AI that surfaces dashboards.
  • Operators planning international expansion beyond English-speaking markets.

Who Restaurant365 is best for

  • US-based multi-brand groups with 50+ locations and mature procurement processes.
  • Operators whose top priority is payroll + HR depth in a single stack.
  • Franchise systems that need multi-entity, multi-brand reporting structures.
  • Teams that prefer a sales-led process with implementation partners assigned.

Migration: switching from R365 to Zilos

If you're already on R365 and considering Zilos:

  • What transfers: Chart of accounts, vendor list, invoice history (CSV import), POS connection (re-authorise in Zilos), inventory item master.
  • What needs reconfiguration: Dashboard layouts, scheduled reports, recipe/PMIX setup, brand-voice rules for Zi.
  • What you'd run in parallel until our payroll/HR module ships: R365's payroll + HR module, or your existing payroll provider. We'll integrate, not replace, until our module reaches parity. Don't switch off something that works.
  • What you keep doing the same: If you have a partner accountant on R365, they can stay on R365 for the books while Zilos handles operations. We'll reconcile the deltas, not fight your accountant.
