TL;DR. MarginEdge is one of the cleanest, most operator-honest tools in restaurant tech: "Daily P&L. No data entry." They explicitly do not market AI. Zilos covers their core back-office workflow (invoice automation, daily P&L, recipe costing) and adds three layers MarginEdge does not have: an AI execution loop with approvals, a marketing/reviews/social/GBP surface, and a per-account flat price that beats their per-location economics at scale. There are still two areas where MarginEdge is deeper today (PMIX sales-mix-weighted variance and multi-unit intercompany transfers) and we say so plainly below. If you love MarginEdge's voice and want only the back office, stay where you are. If you've outgrown a finance-only tool, Zilos is built for what comes next.

What's different (and why it matters)

1. Same workflow, plus AI on top

MarginEdge does invoice automation as well as anyone. Upload an invoice in any format (photo, PDF, EDI) and it's parsed, categorised against the chart of accounts, and reflected on tomorrow morning's P&L. That workflow has years of operator iteration in it.

Zilos covers the same workflow. The difference is what happens after the invoice is processed. In MarginEdge, the data lands on a dashboard for you to read. In Zilos, Zi (our AI assistant) reads it for you, cross-references your sales mix, your inventory variances, and your supplier price history, and proposes specific actions: "your supplier raised olive oil 4.2%, your three highest-margin pasta dishes are exposed, here's a reformulation, an alternative supplier, and a menu price change. Approve, modify, or skip?"

That action loop is the layer MarginEdge does not have because they declined to build it. Their answer is to surface the data clearly and trust the operator to act.

When this matters most: If you're an operator who reads MarginEdge's daily P&L every morning and has a pattern of "I see the leak but I don't have time to fix it that day," the action loop is exactly the gap.

2. Per-location vs per-account economics

MarginEdge is the most transparent pricing in the field: $350 per location per month, $500 if you add Freepour for liquor. No minimums, no surprises. We respect that.

Per-location economics, however, scale steeply. A 5-location group on MarginEdge Standard pays $1,750/month, or $21,000/year. A 5-location group on Zilos Action pays €299/month, or €3,588/year. The math is the math:

When this matters most: You're growing past your second location and the per-location AI tax on opening a new site has started to feel real.

3. AI is a label MarginEdge declines

This is the unusual one. MarginEdge does not call their automation AI. They describe it as automated, period. That's an honest stance. What they ship is rule-based parsing, OCR, and integrations, not generative or agentic AI. We respect that too.

Zilos does ship generative agents and we describe them with specifics, not with "AI" as a generic banner: Zi reads operational signals, generates proposals, hands them to a guardrail layer, and waits for human approval before executing. The propose-guardrail-approve-execute pipeline is a documented architecture, not a feature label.

If you've been burned by tools that overpromised AI and shipped chatbots, MarginEdge's restraint is something you'll respect. If you want AI in the agentic-loop sense, Zilos is the alternative.

When this matters most: The AI question is real for your team. If you don't believe in AI yet, MarginEdge is the cleanest non-AI option in the market. If you do believe in it but want it to ask permission before acting, Zilos's guardrail pipeline is the answer.

4. Beyond the back office

MarginEdge is a finance tool. Inventory, food cost, P&Ls, vendor management. That's the surface area, and they do it deeply.

Zilos covers the same surface plus marketing, social posting, review management, Google Business Profile updates, content generation for menu and web, and (on the roadmap) voice. If your operation needs all of those and you are currently buying them from four separate vendors, the consolidation case is the case.

When this matters most: You've stitched together a stack of MarginEdge + a social tool + a review-reply tool + a content/SEO tool, and you're tired of paying four invoices and reconciling four data silos. The bundling math is straightforward.

5. What MarginEdge does better than Zilos

Six honest ones:

  • Voice and brand. "By restaurant people, for restaurant people" is the cleanest brand voice in the segment. Every surface (homepage, support, content) sounds like an operator wrote it.
  • Invoice-categorisation engine depth. Years of edge cases (handwritten invoices, foreign-language invoices, inconsistent SKU numbering, broken EDI) baked into the parser. We're behind here.
  • PMIX depth (sales-mix-weighted theoretical food cost). MarginEdge weights recipe cost against your actual POS sales mix and surfaces the variance. Zilos has recipe costing today but not the sales-mix weighting that makes the variance operationally sharp. On our roadmap, not yet shipped.
  • Multi-unit intercompany transfers. Their multi-location AP and inventory-transfer accounting is mature. Zilos handles multi-location structure but does not yet ship a transfer workflow with the right accounting entries between sites. On our roadmap, not yet shipped.
  • Liquor management (Freepour). Their Freepour add-on is a mature liquor-specific module. Our liquor handling is on the roadmap.
  • US/UK partner-channel reach. Their accounting-firm and POS-partner network is deep in their core markets. We don't match it there.

If those six are your top priorities — particularly if PMIX or intercompany transfers are critical to how you run the business today — MarginEdge is the right tool and we'd say so on a sales call.

Who Zilos is best for

  • Multi-location operators (2–20 sites) where the per-location AI tax has started to bite.
  • Operators ready for AI with guardrails, not AI as a label.
  • Teams that need marketing, social, and reviews handled alongside the back office, in one stack.
  • Spain or UAE operators who need native-language support and local tax handling.
  • Restaurants that have outgrown a finance-only tool and want the next layer up without buying a second vendor.

Who MarginEdge is best for

  • US/UK operators whose only pain is back-office data entry. The flagship product is excellent here.
  • Operators who explicitly do not want AI in their stack today.
  • Bars and restaurants where liquor management is critical. Freepour is mature.
  • Single-location independents running tight cost control without ambitions toward marketing automation.

Migration: switching from MarginEdge to Zilos

  • What transfers: Chart of accounts, vendor master, invoice history (CSV/PDF batch import), POS connection (re-authorise), recipe/PMIX setup, multi-location structure.
  • What needs reconfiguration: Dashboards, scheduled report cadence, brand-voice rules for Zi (review replies, social posts, content), GBP and social account authorisations.
  • What you'd run in parallel: If you use Freepour for liquor, keep it running until our liquor handling reaches parity. Don't break what works.
